Getting Started with Acts2Track: A Complete Guide

Welcome to Acts2Track! This guide will walk you through everything you need to know to get your widow care ministry organized and running smoothly.

Getting Started

Step 1: Create Your Account

Visit acts2track.online/signup and create your church account. You'll need:

  • Church name
  • Your email address
  • A password
  • After signing up, you'll be taken to your dashboard.

    Step 2: Set Up Your Church

    From your dashboard, configure your church settings:

  • Add your church details
  • Set your timezone
  • Configure notification preferences
  • Step 3: Add Your Widows

    Click "Widows" in the navigation, then "Add Widow." For each widow, enter:

  • Basic information (name, contact details)
  • Status (active, inactive, etc.)
  • Any initial notes
  • You can add widows one at a time or import them from a spreadsheet.

    Step 4: Invite Your Team

    Go to Settings > Team Members to add volunteers:

  • Enter their email addresses
  • Set their role (Admin, Coordinator, Visitor)
  • They'll receive an invitation to join
  • Different roles have different permissions:

  • Admins: Full access to all features
  • Coordinators: Can manage widows and assign visits
  • Visitors: Can log visits for assigned widows
  • Step 5: Assign Visitors to Widows

    Navigate to each widow's profile and assign primary and backup visitors. This determines who's responsible for regular visits.

    Day-to-Day Usage

    Before a Visit: Get Your Briefing

    Before visiting a widow, pull up her profile. You'll see:

  • Basic information
  • Recent visit history
  • AI-generated briefing summarizing key points
  • Any outstanding needs
  • The AI briefing tells you what you need to know in 2 minutes, so you arrive prepared.

    After a Visit: Log Your Notes

    After each visit, log your notes:

  • Go to the widow's profile
  • Click "Log Visit"
  • Enter the date and your observations
  • Note any needs identified
  • Save
  • Good notes help future visitors and power the AI briefings.

    Tracking Needs

    When you identify a need during a visit:

  • Log it in the visit notes
  • It appears on the widow's profile
  • Coordinate with your team to address it
  • Mark it resolved when complete
  • Managing Your Dashboard

    Your dashboard shows:

  • Upcoming visits
  • Overdue visits
  • Recent activity
  • Ministry statistics
  • Check it regularly to stay on top of your responsibilities.

  • Review the dashboard weekly to catch overdue visits
  • Use the reports to track ministry health
  • Check in with volunteers who haven't logged visits recently
  • Keep widow profiles updated
  • For Visitors

  • Log visits promptly (same day is best)
  • Be specific in your notes
  • Read the AI briefing before every visit
  • Don't hesitate to flag concerns
